About us

For over 80 years, the Community Art Center has provided a second home for youth through culturally relevant after school arts and media programs. The Art Center is a neighborhood institution committed to our mission: to cultivate an engaged community of youth whose powerful artistic voices transform their lives, their neighborhoods, and their worlds. Youth ages 5-12 participate in The School Age Child Care (SACC) Program where they become creative problem solvers through a hands-on arts curriculum. Focus classes and Choice classes engage all youth in the creative process. Jr. Leadership Groups and intermediate level arts classes prepare pre-teens for success in high school and beyond. Open all but 14 weekdays of the year, and 10 hours a day during school vacations and summer, our unique approach to integrating arts and social services offers youth the opportunity to learn, grow and achieve their full potential.

What we seek

The Administrative Assistant is responsible for maintaining an organized and effective work environment and for assisting with administrative tasks as needed. The ideal candidate will be a highly organized individual who supports and understands our organizational mission. They will be able to work independently on several tasks simultaneously in a fast-paced environment.

Key Areas of Responsibility

GENERAL ADMINISTRATION

  • Field phone inquiries

  • Respond to general info emails

  • Keep track of vendor files, greet walk-ins, perform student database updates, and support the updating and organization for the server

  • Provide general administrative support for Administrative and Programmatic leadership team

FINANCIAL SUPPORT

  • Distribute parent bills and help to ensure that all parents remain current with payments

  • Communicate with external bookkeeper as needed

DONOR MANAGEMENT

  • Prepare donor acknowledgement letters to corporate, foundation and individual donors

  • Assist with 2-4 general mailings/year

  • Update donor database and maintain regular contact with current, potential and lapsed donors

  • Solicit goods and services from individuals and organizations

  • Maintain and organize development files online and hard copy

MARKETING

  • Create and send monthly eNewsletter and frequently post to social media

RESOURCE DEVELOPMENT

  • Coordinate volunteer inquiries and support volunteer recruitment 

  • Support individual donor email and snail mail campaigns 

  • Manage donor acknowledgement letters

FACILITIES

  • Coordinate space rentals and rental outreach

  • Maintain reception desk and lobby area and coordinate common area bulletin boards and gallery displays

PROGRAM SUPPORT

  • Greet students upon arrival and support student sign in

  • Process and handle program inquires 

  • Maintain a positive and friendly environment in the lobby area

  • Update program calendar

  •  Professional experience in administration

  • Strong writing & editing skills

  • Excellent organizational skills

  •  Ability to manage multiple tasks concurrently

  • Ability to work effectively in a fast-paced environment

  • Ability to work with communities of various cultural backgrounds

  • Superior customer service & interpersonal skills

  • Proficiency in Microsoft Office and other technologies

  • Solid work ethic with proven reliability & dependability

  • Ability to work independently & as part of a team

  • Verifies data for accuracy; maintains low error rate/insignificant errors.

  • Bilingual candidates preferred (especially English and: Haitian Creole, Spanish or Portuguese)
